# Agentic workflow

In short

An agentic workflow is a sequence of tasks where an AI agent, not a fixed script, decides what to do at each step. It can choose tools, handle unexpected results, and loop until the goal is met.

This sets it apart from classic workflow automation, which follows predefined if-then rules. Agentic workflows suit tasks with variable inputs, like researching an unfamiliar company, where the right next step depends on what was found.

## Parts of an agentic workflow

* **Trigger:** An event or request starts the run, such as a new inbound lead.
* **Reasoning step:** The model decides what is needed and in what order.
* **Tool calls:** It fetches data, searches, or writes to systems like the CRM.
* **Checkpoint:** A rule or human reviews the output before anything customer-facing happens.
* **Log:** Each action is recorded for audit and tuning.

---

## Example: inbound lead triage

A form fill arrives. The agent identifies the company, researches its size and tech, checks it against the ICP, finds the account owner, and drafts a reply. A rep approves the draft. If the company is unclear, the agent asks for missing information instead of guessing.

---

## Agentic vs. rule-based workflows

* **Rule-based:** Predictable, cheap, and easy to audit. Best when inputs are structured.
* **Agentic:** Flexible with messy inputs, but less predictable and needs monitoring.
* **Hybrid:** Many teams use rules for the skeleton and an agent for steps that need judgment.

---

## Design tips

### Keep steps small

Narrow tasks are easier to test than one agent trying to do everything.

### Add approval gates

Put a human check before sending messages or changing key records.

### Measure against a baseline

Compare output quality and time spent against the manual process before expanding.

## Agentic workflow FAQs

**What is an agentic workflow?**

An agentic workflow is a multi-step process where an AI agent decides what to do next, calls tools, and checks its results, instead of following a fixed script. Humans usually approve important steps.

**How is an agentic workflow different from workflow automation?**

Workflow automation runs predefined rules in a set order. An agentic workflow lets an AI agent choose steps and tools based on context, so it handles variable situations better but is less predictable and needs more oversight.

**What is an example of an agentic workflow in sales?**

A common example is lead triage: the agent identifies the company, checks ICP fit, finds the right owner, and drafts a reply for a rep to approve. If data is missing, it requests it rather than guessing.

**How do you build an agentic workflow?**

Define one narrow goal, list the tools and data the agent needs, set approval checkpoints, log every action, and test on a small sample against manual results. Expand scope only after the quality holds up.
