# Closed-loop marketing

In short

Closed-loop marketing is a process where marketing and sales share data both ways. Marketing sends leads and their source to sales, and sales sends back what happened: accepted, disqualified, won, or lost.

The loop closes when those outcomes feed campaign decisions. Marketing then optimizes for pipeline and revenue instead of form fills.

## How the loop works

### 1. Capture the source

Record channel, campaign, and first and last touch on every lead.

### 2. Route and work the lead

Sales follows up within an agreed time and logs outcomes in the CRM.

### 3. Feed back results

Statuses, disqualification reasons, and closed revenue sync to the marketing system.

### 4. Adjust

Marketing shifts budget and targeting toward sources that become customers.

---

## What you need

* **A shared CRM or synced systems:** Marketing automation and CRM must agree on lead and account records.
* **Consistent statuses:** Everyone uses the same definitions, such as marketing qualified lead and sales accepted.
* **Required disqualification reasons:** Reps pick a reason when they reject a lead, so marketing learns what is off.
* **Source tracking that sticks:** UTM and form fields stored on the record, not lost at handoff.

---

## Example

Say a webinar produces 200 leads and a content download produces 80. On lead count the webinar wins. With a closed loop, the team sees that the download leads were accepted far more often and led to more opportunities, so it moves budget toward that format.

---

## Common mistakes

* **Reps skip logging:** Without rep updates the loop stays open. Make fields required and simple.
* **Judging on lead volume:** Optimizing on leads rewards cheap, low-quality sources.
* **Ignoring long cycles:** B2B deals take months. Review cohorts by creation date, not just this month.
* **Different definitions:** If sales and marketing define a qualified lead differently, the data is hard to trust.

## Closed-loop marketing FAQs

**What is closed-loop marketing?**

Closed-loop marketing is a process in which sales passes outcome data, such as accepted, rejected, won, or lost, back to marketing. This lets marketers judge campaigns by revenue and pipeline rather than by lead volume.

**How does closed-loop marketing work?**

Marketing records the source of each lead and hands it to sales. Sales logs what happens in the CRM, and those results sync back to the marketing system so budget and targeting can shift toward sources that produce customers.

**What are the benefits of closed-loop marketing?**

It shows which channels and campaigns create revenue, improves lead quality through feedback, reduces disputes between sales and marketing, and helps allocate budget with evidence rather than guesses based on top-of-funnel numbers.

**What do you need to set up closed-loop marketing?**

You need a CRM and marketing platform that share data, agreed lead status definitions, consistent source tracking, and a habit among reps of logging outcomes and disqualification reasons so the data flows back to marketing.
