[GTM glossary](/glossary.txt) CRM enrichment Data & Enrichment # CRM enrichment In short CRM enrichment is the ongoing automation that keeps CRM records complete, by pulling in outside data whenever a record is created or changes. It is usually set up as a connection between the CRM and a data source. Where a one-off cleanup fixes a database once, enrichment as a standing workflow keeps it from decaying again. It is the operational layer under lead routing, scoring, and reporting. ## How CRM enrichment typically runs * **Real-time:** A new lead or contact is enriched as it enters the CRM, so routing can use the data immediately. * **Scheduled:** Records are refreshed on a calendar, for example monthly for active accounts. * **On demand:** A rep clicks to enrich a single record before a call. * **Batch:** A large list is enriched at once, often before a campaign or a territory change. --- ## Where it plugs in Enrichment is usually attached to specific events. A form submission, a new account created by a rep, or a lead status change can each trigger a lookup. Matching is typically done on email domain, company name, or a unique company identifier. Match quality matters. A wrong match writes the wrong firmographics onto a record, which is worse than a blank field. --- ## An example workflow Say a lead arrives from a webinar. The CRM matches the domain to a company, fills industry and size, checks them against ICP rules, and assigns the lead to the correct segment owner. If the company already exists as an account, the lead is attached to it instead of creating a duplicate. --- ## Common mistakes * **No match threshold:** Accepting low-confidence matches pollutes records. Require a confidence level and queue the rest for review. * **Ignoring field limits:** Picklist fields need values that map cleanly to your CRM options. * **No ownership:** Assign someone to monitor sync errors and fill rates. --- ## CRM enrichment versus CRM data enrichment The two names describe the same activity. This page leans on the automated workflow; the CRM data enrichment page covers the field audit and overwrite rules. --- ## CRM enrichment FAQs **What is CRM enrichment?** CRM enrichment is the automated process of adding and refreshing external data on CRM records, such as company size, industry, job title, and email. It runs on triggers or schedules so records stay complete after they are created. **How does CRM enrichment work?** The CRM sends an identifier such as an email domain or company name to a data source. The source returns a matching record with extra fields, and rules decide which fields are written back to the account, contact, or lead. **Is CRM enrichment real-time or batch?** Both are used. Real-time enrichment fires when a record is created, which helps routing. Batch enrichment processes large sets at once, often before campaigns. Many teams combine them with scheduled refreshes. **What are the risks of CRM enrichment?** The main risks are wrong matches, overwriting correct values, and filling duplicate records. Reduce them with match-confidence thresholds, field-level overwrite rules, deduplication before enrichment, and regular checks of fill and bounce rates.
