# Data standardization

Also known as: data standardisation

In short

Data standardization is the process of converting data from different sources into a single, agreed format and set of values. For example, "USA", "U.S.", and "United States" all become "United States".

Standardization makes filters, reports, routing rules, and deduplication work because equal things look equal. It is the formatting step; normalization often goes a bit further by mapping values to a canonical category, and cleansing also removes wrong records.

## What gets standardized in GTM data

* **Geography:** Country, state, and city names, plus ISO codes if you use them.
* **Company names:** Remove suffixes like "Inc." and "Ltd." for matching, and keep one display name.
* **Phone numbers:** One international format, such as with country code.
* **Industry:** A single taxonomy instead of free-text entries.
* **Dates and currencies:** One date format and one reporting currency.
* **Job titles:** Group variants like "VP Sales" and "Vice President of Sales".

## Why it matters

Say a CRM has "Germany", "DE", and "Deutschland" across 300 accounts. A territory rule written for "Germany" misses the others, and those accounts never reach the right rep. The example is illustrative, but the pattern is common: inconsistent values break automation silently.

## How to standardize data

### 1. Define the standard

For each field, write down the allowed values or format. Prefer picklists with a fixed list to free text.

### 2. Map existing values

Export the distinct values for a field and map each variant to the standard one. A pivot table or a small script does this quickly.

### 3. Apply on entry and in bulk

Add validation to forms and imports, then run a one-time bulk fix on historical records.

### 4. Keep the original

Store the raw value in a separate field when possible, so a wrong mapping can be reversed.

---

## Common mistakes

* Standardizing one system but not the sources that feed it.
* Letting reps type free text into fields used for routing.
* Overwriting raw values without a backup.
* Skipping documentation, so the next admin invents a new format.

## Data standardization FAQs

**What is data standardization?**

Data standardization is converting data from different formats and spellings into one agreed format, such as writing every country the same way. It makes records comparable, so filters, reports, routing rules, and deduplication behave predictably.

**Why is data standardization important in a CRM?**

Inconsistent values break filters, territory assignment, lead routing, and reports. If "United States" is also stored as "US" and "USA", rules written for one version miss the rest. Standardization ensures equal things are treated as equal.

**How do you standardize CRM data?**

Define the allowed format or values for each field, map existing variants to them, enforce the standard with picklists and validation on entry, run a bulk update on old records, and keep the original values in a separate field in case you need to reverse a change.

**What is the difference between data standardization and data normalization?**

Standardization makes values follow one format, like a consistent phone number layout. Normalization usually maps varied values to a canonical category, such as grouping many job title variants into one seniority level. The terms overlap and some teams use them interchangeably.
