# De-dupe

Also known as: de-duplicate, dedupe

In short

De-dupe, short for de-duplicate, is the act of finding records that describe the same person or company and merging or removing the extras. In a CRM, it means one contact record per person and one account per company.

Duplicates split activity history, send two emails to one person, and let two reps work the same account. This page covers the practical how-to; the broader process is described under data deduplication.

## How duplicates happen

* **Imports:** A list is uploaded without checking what already exists.
* **Form fills:** The same person submits with a different email or spelling.
* **Integrations:** Two tools create records for the same person.
* **Manual entry:** Reps add a contact without searching first.
* **Mergers and rebrands:** A company appears under old and new names.

## How to de-dupe step by step

### 1. Choose matching keys

For contacts, email address is the strongest key. For accounts, use website domain. Name matching alone is weak because of spelling variants.

### 2. Find likely matches

Use your CRM's duplicate rules or a report grouped by the key. Add fuzzy matching for names with small spelling differences, but review those by hand.

### 3. Pick a master record

Keep the record with the most activity, the most complete fields, or the oldest creation date. Decide the rule beforehand so merges are consistent.

### 4. Merge, do not just delete

Merging combines history, opportunities, and fields. Deleting loses them. Back up before a bulk merge, because merges are hard to undo.

### 5. Prevent new duplicates

Turn on duplicate alerts at creation and use domain or email as a required matching field on imports.

---

## Example

Say the CRM holds "Acme Inc", "Acme, Inc.", and "acme.com" as three accounts. All share the domain acme.com. A domain-based rule groups them, a rep picks the one with open deals as master, and the other two merge in, bringing their contacts with them. The names are an illustration.

---

## Common mistakes

* Merging on company name only and combining two different companies.
* Deleting duplicates that hold closed deals or notes.
* Cleaning once without blocking new duplicates at entry.
* Skipping subsidiaries, which may deserve separate records linked to a parent.

## De-dupe FAQs

**What does de-dupe mean?**

De-dupe means finding and merging or removing duplicate records, such as two CRM entries for the same person or company. The goal is one clean record per entity, so activity history stays together and nobody is contacted twice.

**How do you de-dupe contacts in a CRM?**

Match on email address first, then check close name matches by hand. Choose a master record by activity or completeness, merge the others into it so history is preserved, back up before large merges, and enable duplicate alerts to stop new copies.

**Why are duplicate records a problem for sales teams?**

Duplicates split activity history across records, cause multiple reps to contact the same account, send repeat emails to one person, inflate pipeline and lead counts, and make reports and routing unreliable. They also waste paid data credits.

**Should I merge or delete duplicate records?**

Merge in most cases. Merging combines activities, deals, and fields into one master record, while deleting discards that history. Delete only when a record is clearly junk with no related activity, and take a backup before any bulk change.
