[GTM glossary](/glossary.txt) Lead assignment Sales Development & Prospecting # Lead assignment In short Lead assignment is the step where a lead is given an owner who is responsible for following up. The owner is usually an SDR, AE, or account manager, chosen by rules in your CRM or a routing tool. Assignment is the outcome; routing is the logic that gets a lead there. Good assignment means every lead has one clear owner, quickly, and that the owner is the right person for that lead. ## Common assignment methods * **Round robin:** Leads rotate evenly across a group of reps. Simple and fair, but ignores skill and territory. * **Territory:** Assigned by region, country, or state so reps focus on a geography. * **Account-based:** Leads go to the rep who owns the matching account, found through lead-to-account matching. * **Segment or size:** Enterprise leads go to enterprise reps; small companies go to a velocity team. * **Capacity-based:** Leads go to reps with open capacity or the fewest active leads. * **Product or language:** Specialists get leads for their product or language. --- ## How to design lead assignment ### 1. Define ownership rules Decide the order of precedence. For example: existing account owner first, then territory, then round robin. ### 2. Set response-time targets A lead with an owner but no activity is still unworked. Set a time limit, and reassign if it is missed. ### 3. Handle edge cases Plan for leads with no company, duplicates, personal emails, rep absence, and leads from existing customers. ### 4. Audit regularly Check for unowned leads, uneven load, and conversion by rep or rule. --- ## Example Say a lead from a 1,200-person German firm arrives. The system matches it to an existing account owned by an enterprise AE, so the lead goes to that AE. A lead from an unknown 15-person startup goes into a round robin among SDRs. --- ## Common mistakes * **Two owners:** Duplicate leads assigned to different reps cause awkward double outreach. * **Ignoring fit:** Sending every lead to reps equally wastes top-rep time on poor fits. * **Manual assignment:** Waiting for a manager to assign lead by lead slows response. * **Never rebalancing:** Rep departures and territory changes leave orphaned leads. --- ## Lead assignment FAQs **What is lead assignment?** Lead assignment is giving each new lead a responsible owner, usually an SDR, AE, or account manager, using rules such as territory, existing account ownership, round robin, or rep capacity, so every lead has someone accountable for follow-up. **What is the difference between lead assignment and lead routing?** Lead routing is the logic and workflow that decides where a lead goes. Lead assignment is the result, the act of setting a specific owner. In practice the terms are often used together or interchangeably. **What are the best lead assignment methods?** It depends on your team. Round robin suits similar reps, territory suits geographic teams, account-based assignment suits named accounts, and capacity-based works when workloads vary. Many teams layer several rules in a fixed order of precedence. **How do you avoid duplicate lead assignment?** Deduplicate leads on email and company, match leads to existing accounts before assigning, and set an order of precedence so an existing owner wins over round robin. Review unowned and duplicated records regularly.
