[GTM glossary](/glossary.txt) Lead routing Sales Development & Prospecting # Lead routing In short Lead routing is the automated logic that decides who owns a lead the moment it enters your systems. Rules typically look at region, segment, existing account ownership, product interest, and rep capacity. Fast, accurate routing means leads reach the right person quickly, which matters most for high-intent requests. Poor routing leaves leads unowned or sent to the wrong rep. ## Common routing methods ### Territory-based Leads go to the rep who covers the lead's region or country. ### Account-based If the company already has an owner in the CRM, the lead goes to that owner. This requires clean lead-to-account matching. ### Segment-based Company size or industry decides whether the lead goes to an SMB, mid-market, or enterprise team. ### Round-robin Leads are spread evenly across a group. It is simple and fair but ignores skill and fit. --- ## How to set up routing * **List your rules in order:** Account owner first, then segment, then territory, then fallback. * **Enrich before routing:** Rules need company size and location, so fill them in first. * **Add a fallback owner:** No lead should ever be unassigned. * **Set a response window:** If the owner does not act in time, reassign. --- ## Example Say a demo request arrives from a 400-person company. Routing checks the CRM, finds no owner, sees the company is mid-market in the Nordics, and assigns it to the Nordic mid-market AE. If the AE has not responded in 30 minutes, it moves to the backup. --- ## Common mistakes * **Routing on unenriched data:** Missing fields cause leads to fall to the default queue. * **Rules nobody understands:** Reps cannot trust or challenge what they cannot read. * **Ignoring capacity:** Vacations and overloaded reps stall leads. * **Duplicate records:** Two records for one person route to two owners. --- ## Lead routing vs. lead assignment Routing is the logic and system that decides the destination. Assignment is the act of setting the owner on the record. In practice teams use the terms loosely, but routing refers to the rules. --- ## Lead routing FAQs **What is lead routing?** Lead routing is the automated, rules-based process that sends each new lead to the right sales rep or team using criteria such as territory, existing account owner, company size, or product interest, so leads are acted on quickly. **What are the types of lead routing?** Common types are territory-based, account-based, segment-based, and round-robin routing. Most teams combine them in priority order, for example account owner first, then segment, then territory, with a fallback owner at the end. **Why is lead routing important?** Routing decides how quickly the right person sees a lead. Slow or incorrect routing delays follow-up, leaves leads unowned, and creates conflicts between reps. Clear rules make response times predictable and ownership undisputed. **How do you set up lead routing in a CRM?** Define your rules in priority order, enrich leads so the needed fields are filled, add a fallback owner, and set a reassignment timer. Then test with sample leads and review misrouted ones regularly to refine the logic.
