Sales Development & Prospecting

# List building

In short

List building is the work of creating a prospect list from your target criteria: which companies fit, which people to contact, and how to reach them. A good list is accurate, relevant, and sized for the team that will work it.

The quality of a list decides the ceiling of outbound results. A small, well-matched list usually outperforms a large, loose one.

## How to build a prospect list

### 1. Define the criteria

Translate your ideal customer profile into filters: industry, size, region, tools used, and triggers.

### 2. Build the account list first

Choose companies before people. This keeps the list aligned to fit rather than to whoever is easy to find.

### 3. Add the right contacts

Pick roles that buy or influence, such as a head of sales or an operations lead, and aim for two or three per account.

### 4. Verify and enrich

Check emails and phone numbers, and fill missing fields so messaging can be personalized.

### 5. Clean against your CRM

Remove existing customers, open opportunities, and do-not-contact records before outreach.

## Sources

* **Data providers:** Searchable databases of companies and contacts.
* **Your own data:** Past leads, customers, and event attendees.
* **Lookalikes:** Companies that resemble your best customers.
* **Public sources:** Directories, job boards, and news, used within site terms and privacy rules.

---

## Example

Say a team sells payroll software to growing firms. It filters for 50 to 300 employees in two regions, adds a trigger of recent hiring, and picks HR and finance leads. After removing customers and bad emails, it has 600 contacts across 250 accounts, split evenly between four SDRs.

---

## Common mistakes

* **Building by volume:** More rows do not mean more pipeline.
* **Skipping verification:** Bounces damage domain reputation.
* **One-time lists:** Lists age; plan a refresh.
* **Contacts without accounts:** You lose context and cannot multi-thread.

---

## List building vs. lead generation

List building prepares who to contact. Lead generation covers the whole effort of creating interest, including the outreach that follows.

## List building FAQs

**What is list building in sales?**

List building is the process of creating a targeted list of companies and contacts that match your ideal customer profile. It includes defining criteria, sourcing records, verifying details, and cleaning the list against your CRM before outreach.

**How do you build a prospect list?**

Turn your ideal customer profile into filters, build the account list first, add the buying roles at each account, verify and enrich the contact data, then remove customers and do-not-contact records before outreach begins.

**How big should a prospect list be?**

Size it to the capacity of the team working it. Say an SDR can work a few hundred accounts well over a quarter; a list far above that goes untouched. A smaller, better-matched list usually beats a larger one.

**How often should you update your lead lists?**

Refresh lists on a regular schedule, such as quarterly, and re-verify contacts before big campaigns. Job changes, closures, and email changes make data stale over time, so older lists lose accuracy.
