# ROI calculator

In short

An ROI calculator is an interactive tool or spreadsheet that estimates the return on investment a buyer might get from a purchase. The buyer enters figures about their own business, and the tool compares projected savings or gains with the cost.

Sellers use it to turn a general value claim into a number the buyer can check and take to a budget holder.

## How an ROI calculator works

The basic formula is net benefit divided by cost. Say a team spends 200 hours a month on a manual task at a loaded cost of 50 per hour, and the product would cut that by half. The monthly saving is 5,000. Compare that with the monthly price to see payback.

A good calculator shows its inputs and assumptions so the buyer can change them.

---

## What to include

* **Buyer inputs:** Team size, current volumes, current cost per unit.
* **Benefit drivers:** Time saved, revenue gained, cost avoided.
* **Costs:** License, implementation, training, and internal time.
* **Outputs:** ROI percentage, payback period, and total value over the term.

---

## When to use it

### During discovery

Gather inputs live while asking about current process and cost. This keeps the numbers the buyer's own.

### In business case building

Hand a champion a calculated view they can use with finance.

### In late-stage negotiation

Re-anchor on value when price is the main objection.

---

## Common mistakes

* **Inflated assumptions:** Buyers and finance teams discount numbers that look too good.
* **Hidden logic:** If inputs are not visible, trust drops.
* **Ignoring total cost:** Leaving out implementation makes the result less credible.
* **Using it too early:** Without real inputs the output is just a generic claim.

---

## ROI calculator vs. business case

The calculator produces numbers. A business case wraps them in the problem, the plan, risks, and the decision requested.

## ROI calculator FAQs

**What is an ROI calculator in sales?**

An ROI calculator is a tool that estimates the financial return a buyer could expect from a product. The buyer enters data about their own operation, and the tool compares projected benefits with the total cost of the purchase.

**How do you calculate ROI for a sales proposal?**

Subtract total cost from total expected benefit, then divide by total cost. Use the buyer's own inputs, include implementation and training costs, and show assumptions clearly so the buyer or their finance team can adjust them.

**When should a rep use an ROI calculator?**

Use it during discovery to collect real inputs, when helping a champion build an internal business case, or in late-stage talks when price is the main objection. Avoid showing it before you know the buyer's numbers.

**What makes an ROI calculator credible to buyers?**

Credibility comes from conservative assumptions, visible formulas, inputs supplied by the buyer, and a complete view of costs. Buyers and finance teams discount results that look inflated or that hide how the number was reached.
