[GTM glossary](/glossary.txt) Round-robin routing Sales Development & Prospecting # Round-robin routing In short Round-robin routing is a lead distribution method that assigns new leads to sales reps one after another in a repeating order, so each rep gets roughly the same number. When the last rep in the list is reached, the rotation starts over. It is the simplest form of lead assignment. It focuses on fairness and speed rather than on matching a lead to the best rep, which is why many teams combine it with rules. ## How round-robin routing works A rule in the CRM or routing tool takes each new lead and gives it to the next rep in line. With reps A, B, and C, lead 1 goes to A, lead 2 to B, lead 3 to C, and lead 4 back to A. Teams often add rules so reps who are on leave, over capacity, or outside a territory are skipped. --- ## Round-robin vs. other routing methods * **Round-robin:** Equal rotation; best when leads are similar and reps are interchangeable. * **Territory-based:** Assigns by region or segment; best when expertise or coverage matters. * **Account-based:** Sends contacts to the rep who owns the account. * **Weighted or capacity-based:** Gives more leads to reps with more capacity or higher close rates. --- ## When round-robin works well * **Similar lead types:** Inbound demo requests from one segment. * **Interchangeable reps:** Team members with similar skills and quotas. * **Speed matters:** Instant assignment supports fast follow-up. --- ## How to set it up well * **Filter first:** Apply account ownership and territory rules before the rotation. * **Handle absences:** Skip unavailable reps and reassign leads untouched after a set time. * **Cap volume:** Stop assigning to a rep who already has too many open leads. * **Review fairness:** Check that lead quality, not only count, is evenly spread. --- ## Common mistakes * **Ignoring lead value:** A strategic account may need a senior rep, not the next in line. * **Splitting contacts from one account:** Different reps may contact the same company. * **No fallback:** Leads sit unassigned when a rep is away. --- ## Round-robin routing FAQs **What is round-robin routing?** Round-robin routing is a way of assigning new leads to sales reps in a fixed rotating order so each rep gets about the same number. When the rotation reaches the last rep, it starts again with the first. **When should you use round-robin lead routing?** It works best when leads are similar in type and value, reps have comparable skills and quotas, and fast assignment matters. For strategic accounts, territories, or specialized products, rules based on ownership or expertise are usually better. **What are the downsides of round-robin routing?** It ignores lead value, rep specialty, and current capacity unless you add rules. It can also split one account across several reps and leave leads unassigned when someone is absent, so most teams layer filters and fallbacks on top. **How is round-robin routing different from territory routing?** Round-robin distributes leads evenly in rotation regardless of location or segment. Territory routing assigns leads to the rep who owns a region, industry, or account list. Many teams use territories first, then round-robin within a territory.
