# Sales stages

In short

Sales stages are the ordered steps a deal passes through in your pipeline, from first contact to closed won or closed lost. Each stage describes what has happened with the buyer, not what the rep has done.

Good stages give a team a shared language for deal status. They make forecasting, coaching, and conversion analysis possible because every deal is measured on the same scale.

## A typical set of sales stages

Names vary, but most B2B teams use some version of this sequence.

* **Prospecting or qualification:** A conversation confirms the buyer has a real problem.
* **Discovery:** The rep maps needs, stakeholders, and success criteria.
* **Solution or demo:** The buyer sees how the product addresses their needs.
* **Proposal and negotiation:** Pricing, terms, and legal or security reviews are worked through.
* **Closed won or lost:** The deal ends, and the reason is recorded.

---

## How to design stages that work

### Define by buyer actions

A stage should end on something the buyer did, such as agreeing to a trial or introducing a finance contact. Rep activity alone is not evidence of progress.

### Write entry and exit criteria

Every stage needs a short checklist. Enforce it with required CRM fields so deals cannot advance on optimism.

### Keep the count small

Five to seven stages is usually enough. More stages create arguments about which one a deal is in.

---

## Sales stages vs. sales process

The sales process is the full set of activities and methods your team follows. Sales stages are the status labels in the CRM that show where a deal sits within that process.

---

## Example

Say a deal sits in the demo stage. The exit criteria are that two stakeholders attended, the buyer confirmed three requirements, and a technical review is scheduled. If any is missing, the deal stays put, and the manager knows what to coach.

---

## Common mistakes

* **Stages that mirror internal tasks:** Labels like "proposal sent" track the rep, not the buyer.
* **Skipping stages:** Reps jump a deal forward to look healthy, which distorts conversion data.
* **Stale deals:** No rule for how long a deal can sit in a stage before review.

## Sales stages FAQs

**What are the stages of the sales process?**

A common B2B sequence is qualification, discovery, demo or solution presentation, proposal, negotiation, and closed won or lost. Teams rename and merge these to fit their motion, but each stage should reflect progress the buyer has confirmed.

**How many sales stages should a pipeline have?**

Most teams do well with five to seven stages. Fewer than that hides useful detail, while many more makes it unclear where a deal belongs. Add a stage only when it changes how you forecast or coach.

**What is the difference between sales stages and a sales process?**

A sales process is the full approach your team follows, including methods, activities, and handoffs. Sales stages are the status labels in your CRM that show where each deal sits as it moves through that process.

**How do you set exit criteria for sales stages?**

Write a short checklist per stage based on buyer-confirmed facts, such as a named decision maker or an agreed evaluation plan. Make the items required CRM fields so deals cannot advance until the evidence is recorded.
