[GTM glossary](/glossary.txt) Single source of truth Data & Enrichment # Single source of truth (SSOT) Also known as: SSOT In short A single source of truth (SSOT) is the practice of designating one authoritative location for each important piece of data, so everyone reads and updates the same version. Other systems may display or copy that data, but they defer to the authoritative source when values differ. In GTM, it means that a question like "how many open opportunities do we have?" or "who owns this account?" has one answer, regardless of whether you ask sales, marketing, or finance. ## Why it matters for GTM teams * **Trusted reporting:** Marketing and sales stop arguing over whose dashboard is right. * **Cleaner handoffs:** Routing, scoring, and territory rules use the same account data. * **Less rework:** Teams do not re-enter or reconcile the same record in several tools. --- ## How to build one ### 1. Pick an owner for each data type Decide where each entity lives. For example, accounts and opportunities in the CRM, subscriptions in billing, and product usage in the warehouse. ### 2. Define fields and rules Write down definitions, such as what counts as an "active customer," and which system wins when values conflict. ### 3. Sync one way where possible Let the source push to other tools. Two-way syncs on the same field invite conflicts. ### 4. Monitor and fix drift Check for duplicates, missing values, and mismatches on a regular schedule. --- ## Single source of truth vs. system of record A system of record is the specific application that holds the official record for an entity. A single source of truth is the broader goal of one agreed answer across the business, and it may combine several systems of record, each owning different data. --- ## Common mistakes * **Declaring one tool the truth for everything:** No single tool holds all GTM data well. Assign by data type. * **No definitions:** Without shared definitions, the same metric differs between teams even in one system. * **Ignoring data quality:** A single source full of duplicates and stale records is a single source of wrong answers. --- ## Single source of truth FAQs **What is a single source of truth?** A single source of truth is one designated, authoritative place for a given type of data, so all teams read and update the same version. Other tools can copy or display the data, but they defer to the authoritative source when values conflict. **What is the difference between a single source of truth and a system of record?** A system of record is the application that holds the official record for a specific entity, such as accounts in a CRM. A single source of truth is the wider goal of one agreed answer across the company, often built from several systems of record. **Is the CRM the single source of truth for sales and marketing?** For accounts, contacts, and opportunities, the CRM is often the source of truth. It usually does not hold everything, though. Billing, product usage, and marketing engagement may live elsewhere, so many teams assign ownership per data type. **How do you create a single source of truth for your data?** Choose an owning system for each data type, document definitions and conflict rules, sync from the owner to other tools, and monitor for duplicates and drift. Maintenance matters as much as setup, because data decays over time.
