Account

Also known as: sales account, customer account

In short

An account is a company or organization that you sell to, or want to sell to, tracked as one record in your CRM. Contacts, deals, activities, and notes attach to it.

Accounts are the unit of work in B2B sales and marketing. Several people at one company influence a purchase, so teams that track the account, not just the person, see the whole buying group.

What an account record contains

A useful account record gives anyone on the team the full picture in seconds.

  • Firmographics: Industry, employee count, revenue range, headquarters, and website domain.
  • Contacts: The people tied to the account, with their roles in the buying group.
  • Deals: Open and closed opportunities, so nobody opens a duplicate.
  • Ownership: The rep or team responsible, plus any account-level notes and history.

Account vs. lead vs. contact

  • Account: The company.
  • Contact: A person at a company, usually already linked to an account.
  • Lead: An unqualified person or company that has shown interest or been identified but not yet vetted. After qualification it converts into a contact, an account, and often an opportunity.

How to manage accounts well

Keep one record per company

Duplicates split activity history and cause reps to contact the same company twice. Match on domain and merge duplicates regularly.

Use a parent and child structure

Large companies have subsidiaries and regional offices. Link them so you can see the whole organization and avoid conflicting outreach.

Enrich and refresh

Company data goes stale as headcount, funding, and tools change. Refresh key fields on a schedule.

Segment and tier

Group accounts by fit and potential so you can decide where deep research and personal outreach are worth the time.

Example

Say a rep finds a contact at a logistics company. Before sending anything, they search the CRM by domain and find an existing account with an open deal owned by a colleague. They add the new contact to that account and coordinate with the owner instead of starting a parallel conversation.

Common mistakes

  • Tracking only people: You lose sight of how many contacts are engaged and who is missing.
  • Unclear ownership: Two reps working one account creates confusion for the buyer.
  • Inconsistent naming: "IBM", "I.B.M.", and "IBM Corp" become three records unless you standardize.
