Data freshness

In short

Data freshness is a measure of how recent your data is. It is usually expressed as the time since a record or field was last verified or updated, such as "this email was verified 12 days ago."

Freshness is the opposite side of data decay. Decay is the loss of accuracy over time; freshness is how well you are keeping up with it. A fresh record is not guaranteed to be correct, but a very old one is more likely to be wrong.

Why freshness matters

A buyer who changed roles last month will not respond to a message addressed to their old title. A company that doubled in size will be mis-segmented by an old headcount value. Fresh data makes targeting, routing, and personalization more reliable and reduces bounces.

How to track freshness

  • Last verified date: Store a timestamp per record, ideally per critical field such as email or title.
  • Source: Record where each value came from so you can judge how much to trust it.
  • Age buckets: Group records by age, for example under 30 days, 30 to 90 days, and over 90 days, and report the split.

Setting freshness targets

Match the target to the use

A list for a cold email campaign needs recently verified emails. A territory plan may be fine with firmographics refreshed less often.

Match the target to the field

Emails, titles, and phone numbers change faster than country or industry. Give them shorter refresh windows.

How to keep data fresh

  • Scheduled re-enrichment: Refresh records on a cadence that fits each field.
  • Event-triggered refresh: Update a record when a signal such as a job change or bounce occurs.
  • Just-in-time verification: Re-verify a list right before launching a campaign.
  • Ask the source: Before buying data, ask how and how often records are updated.

Common mistakes

  • Assuming freshness equals accuracy: A recent update from a poor source can still be wrong.
  • Refreshing everything equally: It wastes budget on slow-changing fields.
  • No timestamps: Without dates you cannot tell fresh from stale.

Data freshness FAQs

What is data freshness?

Data freshness is how recently the values in a record were collected or verified. It is usually measured as the time since the last update, and it shows whether the data likely reflects the current state of a contact or company.

How do you measure data freshness?

Store a last-verified timestamp on each record, ideally on key fields like email and title. Then report how many records fall into age buckets, such as under 30 days or over 90 days, and track the split over time.

What is the difference between data freshness and data decay?

Data decay is how quickly records become inaccurate as the world changes. Data freshness is how recent your data is. Good freshness practices are how you counter decay.

How often should B2B data be refreshed?

It depends on the field and the use. Emails, titles, and phone numbers change often and need frequent checks, ideally before each campaign. Firmographics such as industry change slowly and can be refreshed less often.
