Pipeline hygiene
In short
Pipeline hygiene is the ongoing practice of keeping every open opportunity in your CRM accurate: right stage, realistic amount, valid close date, and a clear next step. Dead or stale deals are closed out.
Clean data makes pipeline reviews faster and forecasts more reliable. It is narrower than CRM hygiene, which covers all records; pipeline hygiene covers only open deals.
What to check
- Close date: Not in the past, and consistent with the buyer's timeline.
- Stage: Matches the exit criteria, not the rep's hope.
- Amount: Reflects the scoped deal, not a placeholder.
- Next step: Dated, specific, and agreed with the buyer.
- Contacts: At least a champion, and ideally the budget owner.
- Activity: Recent calls, emails, or meetings.
How to run a hygiene routine
Set a weekly rhythm
Reps spend 15 minutes before the pipeline review updating their deals. Do not leave it for quarter end.
Use automated flags
Create CRM views for deals with no activity in 30 days, past-due close dates, or missing next steps.
Define required fields by stage
Make a field mandatory when a deal enters a stage, such as a budget owner before proposal.
Close out cleanly
Mark dead deals closed-lost with a reason. That data is useful later.
Example
Say a manager opens the quarter's forecast and finds ten deals with close dates last month and no activity. Removing or re-dating them cuts reported pipeline noticeably and shows the real coverage gap in time to build more.
Why it matters
Poor hygiene inflates coverage, hides risk, and erodes trust in the CRM. Reps stop updating records when they see no one uses the numbers, so reviews that depend on clean data also reinforce it.
Common mistakes
- Cleaning only at quarter end: By then the damage to planning is done.
- Treating it as policing: Explain how clean data helps reps win, not only managers report.
- Too many required fields: Reps enter junk to get past them.
Pipeline hygiene FAQs
What is pipeline hygiene?
Pipeline hygiene is the routine of keeping open sales opportunities accurate and current. It means correct stages, realistic amounts, valid close dates, clear next steps, and removing dead deals so pipeline reports and forecasts can be trusted.
Why is pipeline hygiene important?
Dirty pipeline data inflates coverage, hides at-risk deals, and makes forecasts unreliable. Clean data lets managers coach on real deals, helps leaders plan hiring and spend, and gives reps confidence that the CRM reflects reality.
How often should you clean your sales pipeline?
Weekly is a good rhythm, ideally just before the pipeline review. Reps update their own deals, and automated views flag stale records, such as past-due close dates or no activity in 30 days, so problems are caught early.
