Security questionnaire
In short
A security questionnaire is a formal list of questions a buyer's security or procurement team sends a vendor to assess how it protects data, controls access, and handles risk. It is usually completed late in a B2B deal, before contract signature.
Answers feed the buyer's vendor risk review. Slow or inconsistent responses are a common cause of delayed deals, which makes this a sales concern as well as a security one.
What a security questionnaire asks
- Data handling: What data you store, where, and for how long.
- Access and authentication: Who can access data, and how access is granted and removed.
- Infrastructure and encryption: Hosting, encryption in transit and at rest, backups.
- Compliance and certifications: Audit reports or frameworks you follow, such as SOC 2 or ISO 27001.
- Incident response: How you detect, report, and handle breaches.
- Subprocessors: Third parties that touch customer data.
How to handle them without stalling deals
Build an answer library
Keep approved answers in one place, owned by security. Reps and solutions engineers can reuse them instead of asking from scratch each time.
Ask early
In larger deals, ask in discovery whether a security review is required and who runs it. Start it in parallel with evaluation, not after verbal agreement.
Share standard documents first
A current audit report, a security overview, and a data processing agreement often satisfy a buyer or cut the questionnaire down.
Who is involved
Sales owns the timeline and the relationship. Security or IT owns the answers. Legal may review data terms. A single named coordinator keeps requests from bouncing between teams.
Example
Say an AE learns in discovery that the buyer's security team reviews all new vendors. The AE shares the security overview during the demo stage, so when a 200-question form arrives, most answers are pulled from the library and returned within days.
Common mistakes
- Waiting until the end: Late questionnaires push the close date.
- Inconsistent answers: Different reps answering differently creates risk and distrust.
- Overpromising: Claiming controls you do not have can become a contract issue. This is general information, not legal advice.
Security questionnaire FAQs
What is a security questionnaire in sales?
A security questionnaire is a list of questions a buyer sends a vendor to assess its data protection, access controls, and compliance practices. It is typically completed late in a B2B deal as part of the buyer's vendor risk review.
Who fills out a security questionnaire?
Usually the vendor's security or IT team supplies the answers, while a sales rep or solutions engineer coordinates the request. Legal may review data terms. One named coordinator helps avoid duplicated effort and conflicting answers.
How do you answer a security questionnaire faster?
Keep a reviewed library of standard answers, share audit reports and security overviews up front, and identify the review requirement early in the deal. Reusing approved answers is faster and more consistent than writing each response from scratch.
Why do buyers send a security questionnaire to vendors?
Buyers need to assess the risk of giving a vendor access to their systems or data. The questionnaire documents the vendor's controls so the buyer can meet its own internal policies and, where relevant, regulatory obligations.
