System of record (SoR)

Also known as: SoR

In short

A system of record (SoR) is the application or database that holds the official, authoritative version of a given type of data. When the same record exists in several tools and values disagree, the system of record wins.

In GTM, the CRM is usually the system of record for accounts, contacts, leads, and opportunities. Other types of data often have different owners, such as billing for subscriptions or a product database for usage.

System of record by data type

  • Accounts, contacts, opportunities: Typically the CRM.
  • Subscriptions and invoices: Billing or finance systems.
  • Product usage: The product database or warehouse.
  • Email engagement: The marketing automation platform.
  • Employees and org charts: The HR system.

System of record vs. related terms

  • Single source of truth: The broader goal of one agreed answer across the business, often built from several systems of record.
  • System of engagement: The tools people interact with day to day, such as email and sequencing tools. They read from and write to the system of record.
  • System of insight: Analytics layers such as a warehouse that combine records for reporting.

How to choose and enforce one

Assign per entity and field

Decide the owner for each object, and for contested fields such as employee count or industry. Say enrichment provides company size: write down whether it can overwrite a rep's manual value.

Flow data in one direction

Have other tools write to the system of record through defined integrations, not manual copy and paste.

Document and communicate it

A short table of data types and owners, shared with sales, marketing, and RevOps, prevents most disputes.

Common mistakes

  • Two systems both claim ownership: Both update the same field and overwrite each other.
  • Spreadsheets as shadow records: Lists kept offline drift from the CRM and never come back.
  • Migrating without a plan: When changing CRMs, decide which fields and history carry over before cutting over.

System of record FAQs

What is a system of record?

A system of record is the application that holds the authoritative version of a particular kind of data. If the same record appears in several tools with different values, the system of record is treated as correct and the others are updated to match it.

Is the CRM a system of record?

For most sales and marketing teams, yes, for accounts, contacts, leads, and opportunities. It is usually not the system of record for everything, since billing, product usage, and HR data typically live in other systems that own those records.

What is the difference between a system of record and a system of engagement?

A system of record stores the official data, such as a CRM. A system of engagement is where people interact with customers and prospects, such as email, sequencing, and chat tools. Engagement tools read from and write back to the record.

Can a company have more than one system of record?

Yes. A company can have one system of record per data type, such as the CRM for accounts and billing for subscriptions. The rule is that each piece of data has exactly one owner, so conflicts have a clear answer.
