Warm outreach
In short
Warm outreach is any email, call, or message sent to someone who already has a link to you or your company. The link could be a past conversation, content they engaged with, a shared contact, or recent activity that suggests interest.
It describes the message and the moment of contact. Warm outbound is the wider strategy of building a pipeline motion around such prospects, and a warm introduction is one source of warmth where a third person makes the connection.
Examples of warm outreach
- Follow-up after an event: A short note to someone you met at a conference or who attended your webinar.
- Reconnecting: Writing to a past customer, or a champion who moved to a new company.
- Responding to behavior: Reaching out after someone downloads a guide or revisits your pricing page.
- Social engagement: Messaging a person who commented on your post or accepted a connection request.
How to write a warm outreach message
Lead with the connection
The first line should name why you are writing: "Thanks for stopping by our booth on Thursday" or "I noticed you read our guide on territory planning." A vague opener wastes the advantage you have.
Make one clear ask
Ask for one next step, such as a 15-minute call or a yes/no on whether the topic is relevant. Several asks in one message lower the reply rate.
Keep it short and specific
Three to five sentences are usually enough. Mention one detail about their situation, and one useful point for them. Avoid pasting your full value proposition.
Example
Say a prospect attended a webinar on pipeline reporting but did not book a demo. A rep writes two days later: "You joined our session on pipeline reporting. A few attendees asked about forecasting by segment, so I put together a one-page example. Want me to send it over?" The message references the event, gives something useful, and asks a small question.
Common mistakes
- Treating anyone in your database as warm, even if they have never interacted with you.
- Mentioning tracked behavior in a way that feels invasive, such as "I saw you visited page X three times."
- Waiting weeks. Interest fades quickly after the triggering event.
- Using a generic mass template that ignores the connection.
Warm outreach FAQs
What is warm outreach?
Warm outreach is contacting a prospect who already knows you or has shown some interest, and referring to that connection in your message. The connection might be a past meeting, content they engaged with, a mutual contact, or a previous deal that did not close.
How is warm outreach different from cold outreach?
Cold outreach targets people with no prior connection to you, so the message must create relevance from scratch. Warm outreach starts with an existing link, so you can open with a specific reason for writing. This usually makes messages shorter and more likely to get a reply.
How soon should you follow up in warm outreach?
As soon as is practical after the triggering event, ideally within a day or two. Interest fades quickly, and a prompt message still feels connected to what the person just did. Waiting several weeks turns warm contacts back into cold ones.
Can you do warm outreach on LinkedIn?
Yes. Common warm triggers on LinkedIn include someone engaging with your post, accepting a connection request, or sharing a mutual connection. Reference that interaction in the message and keep it short. Avoid pitching in the first line of a connection note.
